What are Tracks?

Tracks turn messy, real-world work into a living system your team can follow, revisit, and hand off without losing context. If you have ever written a standard operating procedure (SOP), you know the problem: SOPs assume everyone moves step 1 → step 2 → step 3 in order. Real work does not behave that way. People skip ahead, go back, need different paths for different situations, and pass work between teammates and AI agents. Tracks are XSpada’s answer to that gap. We sometimes describe them as dynamic operating procedures — the same goal as an SOP (guide people through a process), but flexible enough for how work actually happens.

What you can do

  • Design workflows that match how your role actually operates — not a rigid checklist.
  • Run those workflows on contacts, files, ideas, outcomes, assets, and other entity types defined in the Intelligent Registries.
  • Collaborate with teammates and Agents who oversee progress and assign tasks to each other.
  • Automate repeatable steps by connecting milestones to Actions.
  • Monitor where everyone stands with instance timelines, notes, and aggregate Track Data.
  • Hand off mid-stream without starting over — history, progress, and pending work stay intact.

How Tracks fit with the rest of XSpada

Tracks sit at the center of how operations run in your workspace:

The big picture

Every track has three layers you will hear about throughout this guide:
  1. Checkpoints — stages or areas in the workflow (where someone is).
  2. Milestones — specific achievements inside each stage (what got done).
  3. Instances — one entity’s actual journey through the track (the running version).
Think of a track like a theme park map: the track is the whole park, checkpoints are the lands you visit, and milestones are the rides or goals inside each land. People can bounce between lands, revisit earlier ones, and skip optional stops — the map guides without forcing a single path.

Where to find Tracks

Open Tracks from your workspace sidebar. The main list shows every track your organization has built. Select a track to open its detail view, where you switch between Build (design the workflow) and Manage (see who is on the track and how they are progressing). For day-to-day work on individual people, Active Tracks (under the classic Tracks area) still offers a focused view of instances in progress — notes, milestone actions, and evaluation tabs many teams use daily. The newer Tracks experience is where you design and manage the underlying workflow.
